    Administrative Assistant - Receptionist

    The Administrative Assistant - Receptionist plays a vital role in ensuring the smooth operation of our Ciudad Juarez facility. Working on-site, this individual will support the organization by performing a wide range of administrative duties. Responsibilities include greeting and checking in guests, maintaining the cleanliness and organization of conference rooms, providing necessary resources, and assisting with projects, particularly within the Human Resources department.

    As the first point of contact for many visitors and employees, the Administrative Assistant - Receptionist is expected to deliver a solution-oriented and customer-focused experience in every interaction. This role requires a motivated self-starter with a background in customer service who can handle multiple tasks efficiently and professionally.

    Key Responsibilities

    • Open and close support service locations, ensuring that the lobby and various conference rooms are clean and organized.
    • Greet all employees and visitors in a friendly, warm, professional, and courteous manner.
    • Issue the appropriate visitor travel logistics, determine the purpose of each visit, and notify the relevant staff members.
    • Offer services to guests, including making transportation reservations and arranging special services required for their travel purposes.
    • Direct new hires and temporary employees to the Security Badge Office to obtain employee badging.
    • Answer incoming calls, assess callers’ needs, and transfer them to the appropriate person or department.

    What You Will Do

    • Opening and closing support service locations, ensuring the lobby as well as different conference rooms are clean and organized.
    • Greeting all employees and visitors with a friendly, warm, professional and courteous manner.
    • Issuing the appropriate Visitors travel logistics while determining the nature of their visit and notifying the appropriate staff people.
    • Offering services to guests including, but not limited to, transportation reservations as requested, special services required due to the travel purpose.
    • Directing new hires and temporary employees to the Security Badge Office to get employee badging.
    • Answering incoming calls, determining caller’s needs, and transferring to the appropriate person or department.
    • Subscribing to reception email lists and responding to all email in a timely manner. Following proper procedures to hang and maintain customer posters in all buildings.
    • Distributing assets for company employees and updating the associated logs, including but not limited to, keys, access cards, and parking items.
    • Maintaining appropriate levels of reception forms and supplies, including reporting to your supervisor when supplies need to be ordered.
    • Assisting employees with catering deliveries including getting a cart for them, or helping to carry items to their meeting location
    • Creating a remedy ticket for any facility issues brought to your attention.
    • Calling security as needed for assistance and following proper escalation procedures.
    • Assisting with daily set-up and/or tear down of stand, including occasional decoration
    • Tracking daily metrics in tracking software, comments, general inquiries, and public response.

    Who You Are

    • One (1+) years of experience in customer service, call center, or administrative support
    • Excellent customer service skills and the ability to prioritize tasks
    • Strong communication skills and ability to effectively identify situations with dissatisfied customers
    • Strong conflict resolution, critical thinking, and problem-solving skills Ability to understand, interpret, and follow company policies and procedures.

    • Plan, organize, prioritize and oversee activities to efficiently meet objectives.
    • Understand and effectively use standard office equipment and standard software packages to support business processes.
    • Acquire, organize, protect and process data to fulfill business objectives.
    • Select and deploy the appropriate office system and to use it to optimum effect.
